EF-M-45V Excel Spreadsheet Instructions:

This version of the EF-M-45VExcel Spreadsheet is designed to allow the financial data to be entered into the appropriate pages for your Career and Technical Region.  The sub-total and total lines sum automatically.

The EF-M-45VExcel Spreadsheet is available from the Department of Education homepage:  http://www.maine.gov/education/forms/forms.htm

Submitting this spreadsheet by e-mail:

This spreadsheet is in MS Office 95, Excel version 5.0.  If you use a higher version than this, you must save the spreadsheet at the lower 5.0 level.

If you place formulas in the individual cells -- you must round the results to two decimal places.  [Example:  =ROUND(Your Formula,2)]

A signed printed copy of the front cover only must be mailed or faxed (624-6791) to School Finance and Operations.

Please comply with the following instructions:

Step 1:

On sheet “Cover” in cell “A7” type in the appropriate beginning date for the fiscal year [Example:  July 1, 2006].  This will place the appropriate year on each page.

Step 2:

On sheet “Cover” in cell “C7” type in the appropriate ending date for the fiscal year [Example:  June 30, 2007].  This will place the appropriate year on each page.

Step 3:

On sheet “Cover” in cell “C9” type in the name of your Career and Technical Region.  This will place the name of your region on each page.

Sheet by Sheet Instructions:

Please fill in the following:

  • Name of Region
  • Person completing form
  • Telephone Number
  • E-mail address (if available)
  • Fax Number
  • Date report is being submitted
  • Check whether this report has been audited. 

1R to 9 Instructions: 

Please refer to the EF-M-45V instructions for page by page directions to complete this report.  The following are reminders for specific lines only and unique spreadsheet instructions:

1R to 3R

This sheet contains pages 1R, 2R and 3R.

  • Column 7 and lines 25, 29, 45, 66 and 67 calculate automatically.

4E

This sheet contains page 4_E.  The columns in these pages are to be completed for each Career and Technical Education course. This sheet is designed to have enough pages for even the largest program in the State.  By paging down, you will see each of the seven possible pages to detail each course.

Each course must be indicated by Course Name and Course Number  – Example:  99.1000 Co-op

  • Column 6 and line 16 calculate automatically.

If you wish to reset the print area to print only the pages for each of your unit’s programs – do the following steps: 

  1. Highlight the pages in the sheet you want to print. Starting with cell “A1” to cell “H?”

  2. Click on “File”

  3. Click on “Print Area”

  4. Click on “Set Print Area”

5E

This sheet contains page 5E.  This page is to be completed for Career and Technical Education support expenditures.

  • Column 6 and line 30 calculate automatically.

This sheet contains page 6E.

  • Column 6 and line 11 calculate automatically.

  • Lines 12 and 13 calculate automatically from page 4__E and 5E.

  • All units with school buildings MUST complete lines 14 and 15.

 7E

This sheet contains page 7E.

  • Columns 9 and 11 calculate automatically.

  • Line 10 calculates automatically.

 8E

This sheet contains page 8E.

  • Column 18 calculates automatically.

  • Line 7 calculates automatically.

This sheet contains page 9.

  • Section A, lines 4,5,6,7,8,9,10,11 and 13 calculate automatically.

  • Section A, enter beginning balances and designated reserves on lines 1, 2 and 3.

  • Section A, enter designated reserve ending balances on line 12.

  • Section B, lines 6, 9 and 10 calculate automatically.

  • Section B, enter beginning balance on line 1, enter revenues on lines 2, 3, 4 and 5, enter expenditures on line 7 and other use of funds on line 8.

  • Section C, lines 2, 3, 4, 5, 11 and 12 calculate automatically.

  • Section C, enter beginning balance on line 1, enter expenditures and other use of funds on lines 6 through 10.
