President : (Presiding Office)
The
State President runs all official state meetings. This position is
the presiding officer who is responsible for maintaining order. The presiding
officer shall:
Arrive at the designated meeting space early and check the
readiness of the meeting room.
Start the meeting promptly at the scheduled hour.
Be organized and arrive at the meeting with an agenda.
Be familiar with parliamentary authority
Be in control of the floor (recognizes the member who has
asked to speak).
Be impartial (gives all sides a chance to speak)
Be composed (remains clam and objective - keeps the meeting
moving).
Be precise (restates the motions, makes the motions clear,
announces results after a vote)
Remains focused (reminds the members to confine their remarks
to the question at hand)
Attends all executive meetings.
Vice-President
The
Vice-President takes charge in the president's absence. The Vice-President
will:
Assists the president with his/her duties and responsibilities
Contact the president prior to each state or board meeting
to assist with program
The Vice-President attends all state and executive board
meetings.
Secretary
The
Secretary is the scribe of the organization. The Secretary will:
Issue calls of notices of all meetings
Write such letters as the executive committee may designate
Keep a neat and careful record of all business done in meetings (with exact
wording or every motion and whether it was lost or carried).
Have minutes of past meetings with him/her so that references can be made
to minutes of past meetings
Have a list of members
Keep a list of unfinished business
Make a full report annually at HOSA's state conference
Attend all executive board meetings
Treasurer
The
Treasurer is the custodian of the funds. The Treasurer will:
Maintain a permanent record book with a detailed account
of all money received and disbursed
Assists State Advisor with collection and disbursement of
all funds upon approval to do so
Chair or assist all state fundraising events
Give a full report annually at the state conference
Attend all executive board meetings
Historian
The
Historian will keep the history of the organization. The historian
will:
Keep a scrapbook or notebook or both
Attend all executive board meetings.
Parliamentarian
The
Parliamentarian keeps the order of the meeting. The Parliamentarian
will:
Ensure that meetings stay on time
Familiarize himself/herself with parliamentary procedures
Assist the president and vice-president with parliamentary
procedures during meetings
Presides over balloting at meetings
Attend all executive board meetings
Social
and Recreation Chair
The
Social and Recreation Chair will be responsible for the social and recreation
parts of all state programs. The Social and Recreation chair will:
Design and implementation of all mixes at executive board
meetings and all state meetings.
Lead the members in mixes
Assists the state advisor with the entertainment at state
convention
Attend all executive board meetings
Reporter
The
Reporter will be the public relations spokesperson for the organization. The
Reporter will:
Write reports of all functions of the organization to state
and local news media.
Handle all inquiries regarding public relations
Attend all executive board meetings
Point
Keeper
The
Point Keeper keeps the official record of points earned for each chapter member.
The Point Keeper will:
Provide chapters with the official record keeping forms for
HOSA points earned
Annually review and update if needed the HOSA point allocation
Report on status of the Point System at Executive Board meetings
Receive individual reports on points earned by chapter members
from each chapter
Work with the state advisor to tabulate year-end results
on points earned
Work with state advisor to determine annual top point winner
(s)
Encourage participation of each HOSA member in earning points
and in competing for HOSA point award
Attend all executive board meetings
