MEDMS Update August 2008
Staff Module
The Staff module will be online on August 11th for school year 2008-09 updates. Most data entered last year will appear in the 2008-09 screens, but all three pages must be verified for the current year.
- The Date Work Started field on the Staff SAU screen and the Annual Salary for this Position and the Funding Percentage of Salary fields on the Job Function screen will be blank and require new data for 2008-2009. Please save any updates before moving to another page or screen.
- The Educational Experience in Public Education field on the Staff Personal screen and the Years Worked for This SAU field on the Staff SAU screen automatically were updated with an additional year. The Yrs. Non-education experience in Voc/CTE subject area field on the Staff Personal screen was not updated.
- Job Function screen special instructions:
- 2008-2009 Job Function updates are required for all staff.
- Each job function should be listed on separate screens.
- The Annual Salary for This Position, Days Scheduled to Work per Year, and Hours per Day fields should be prorated for each Job Function. The total of all Job Function screens for a staff member should not exceed a full time position.
- The Annual Salary for This Position and Days Scheduled to Work per Year fields for staff personnel who are employed by the SAU for part of the school year should be prorated. For example – a teacher who is employed for the full school year may be paid a salary of $36,000 and work 180 days. If the teacher is hired for half the year the salary would be $18,000 and days worked 90.

Student Module (Infinite Campus State Edition)
The new MEDMS Student module is expected to go online for 2008-09 in late August. All current student data has been moved over to the Infinite Campus State Edition.
- Training – Infinite Campus will be providing two types of training sessions for the new system:
- Direct Entry – for those school units that manually enter student data into MEDMS.
- File Upload – for those school units who upload files from their local student information systems (SIS).
Training classes will be delivered via Webex sessions that can be accessed from your desktop. The classes are scheduled to take no more than two hours and will be offered multiple times throughout the fall starting this month. An invitation with class dates and sign-up instructions will be distributed soon.
- Practice Site – A State Edition practice site will be available for users to access after completing the training. Please make sure you do not enter any real names or data when using the practice site.
- Accessing the New Student System – The MEDMS Infinite Campus State Edition will be on a separate website from the current MEDMS system and will require a separate username and password. After attending a training session you will be emailed your username and password for the State Edition along with logon information.
- New Upload Schemas – The student personal and enrollment upload schemas (CSV and XML formats) have been updated for 2008-09. SIS vendors have been notified of the changes and a number have sent test files to the MEDMS help desk.
- Project Portal – The Infinite Campus State Edition project portal is online at http://support.infinitecampus.com/maine/. The portal has links to the new upload schemas as well as other information about the State Edition and District Edition projects including bi-weekly status reports. A link to the training registration site will be added to the portal. The training schedule and materials will be posted on the portal.
