A Publication Featuring The Information Services Technology of Maine State Government
| Volume IV, Issue 7 | July 2001 |
The answers you need may be found on the Internet! The Maine State Government Electronic Directory Listings Website (http://www.maine.gov/bis/phone/phone.htm) was designed and implemented as an accessible online electronic document. It allows for rapid updating of information, and you can play an important role in keeping data current for everyone! If you have changes, or spot errors, please contact your Telecommunications Coordinator with the changes. The Telco Coordinator will complete the necessary form and forward to the proper resource for implementation. You can check the State Telecommunication Coordinators listing for assistance (see Website Item #9). If you do not have a Telco Coordinator, you will need to complete the form and forward it to Bureau of Information Services (BIS) Telecommunications Customer Services (see Instructions & Forms for Telephone Directory on the Website Item #5).
Other benefits include the Searchable Directory Listings (Website Items #1 and #3 to help find personnel and/or organizational listings for state employees and departments and locating phone numbers using a keyword). This site also allows you to download the reports and print them at your convenience (Website Items #2, 4, 6, 7, 8).

Whats New! We have recently added two new sections Instructions & Forms for Telephone Directory Changes, and Telecommunication Coordinators. If you 1) have changes, 2) need a calling card for an employee, or 3) need an access code for an employee, this is where you can find the instructions and forms to complete. This section is also available from the BIS Help Desk and Intranet Websites.
How The Directory Works: Data on telephone numbers for all State employees, who have been assigned a telephone, is maintained in the BIS Telco Research System. Similarly, correct and current data on all State employees (who receive paychecks!) is maintained in the MFASIS Human Resource System. The directory works by linking and comparing data from these two systems. We call it MATCH EM UP, and this is how the most current information is always available online.
The data used for the MATCH EM UP is the Employees Name and the Employees ID Number. Once this match is made, a search is made in the Telco Research System for the employees assigned telephone number or office receptionist/department lead number. If an exact match is made on the Employee Name and Employee ID Number, a search is made in the Telco Research System for a telephone number assigned to the employee or office receptionist/department lead number. Once these three items are matched (employee name, ID number, and telephone number), the information is published in the online directories. If only one of these items is not available, or an employee name and ID match is not made, the information WILL NOT be published.
Together Everyone Achieves More: As you can see, it is a TEAM effort to keep the directory information current. Please feel free to test out the system! If you receive a paycheck and your telephone number is missing, contact your Telco Coordinator right away!
Global e-mail Listings: Changes to the Global e-mail listing are made by e-mail administrators. Please notify the BIS Help Desk (624-7700), if your agency contracts with BIS for e-mail services. Large departments have their own staff serve as e-mail administrators.
If you have questions or would like more detailed information on this process, please call Carmen Fournier at 624-7840 or e-mail carmen.fournier@state.me.us (see Item #10 on the Website).
