The Patten Free Library, located in Bath, Maine, is a cornerstone of the community, providing essential resources and programs to promote literacy, learning, and cultural enrichment to the City of Bath and the towns of Arrowsic, Georgetown, West Bath and Woolwich. (Total population served is app. 15,279.) We are embarking on an exciting Capital Campaign to support our mission and enhance our facilities.

Job Summary:

The Capital Campaign and Development Assistant will play a key role in supporting the Library's capital campaign efforts and ongoing development activities. This position is part-time, requiring 20 hours per week, and will report directly to the Development Director.

Key Responsibilities:

Capital Campaign Duties:

  • Assist in cultivating and stewarding relationships with major donors, including researching prospective donors and preparing materials for meetings.
  • Coordinate and support the campaign committee by scheduling meetings, preparing agendas, and ensuring follow-up on action items.
  • Maintain and update campaign materials, ensuring they are accurate, current, and readily accessible to support fundraising efforts.
  • Process and acknowledge campaign gifts promptly, ensuring donors receive timely and personalized thank-you communications.
  • Keep campaign progress reports up-to-date, tracking fundraising milestones and contributions against goals.
  • Ensure the naming opportunities list is regularly updated to reflect the latest donations and available opportunities.
  • Arrange and manage logistics for donor cultivation meetings and small campaign events, ensuring a high level of hospitality and engagement for participants.

Development Duties:

  • Manage logistics and coordination of annual appeal mailings, including scheduling, mail merges, and tracking responses.
  • Coordinate development committee meetings by scheduling, preparing agendas, and ensuring follow-up on action items to advance fundraising initiatives.
  • Manage the donor database (Little Green Light), including processing donations, generating thank-you letters, and producing reports for analysis and stewardship purposes.
  • Participate in the planning and execution of development-focused events and programs, coordinating logistics, invitations, and communications to enhance donor engagement.
  • Create and distribute monthly electronic newsletters using platforms like Constant Contact to keep donors informed about library initiatives, events, and impact stories.
  • Perform general office management duties, such as filing documents, managing supplies, and supporting other administrative needs of the development office.
  • Engage and coordinate volunteers to support development activities, such as event staffing, donor outreach, and campaign support.

Qualifications and Expectations:

  • High School diploma required; Bachelor's degree preferred.
  • Skilled in Microsoft programs, email communication, and general technology usage.
  • Experience or training in database management (knowledge of Little Green Light a plus).
  • Experience in event coordination and promotion is advantageous.
  • Demonstrates enthusiasm for collaborative work and contributing to team goals.
  • Capable of working autonomously, taking initiative, and solving problems proactively.
  • Exhibits excellent written and verbal communication abilities.
  • Manages diverse tasks, prioritizes effectively, and handles time management efficiently.
  • Demonstrates good customer service etiquette and interpersonal abilities.
  • Pays close attention to confidentiality requirements and practices.
  • Previous experience in fundraising or nonprofit administration is desirable.

Conditions of employment:

This is a part-time position requiring 20 hours per week, with a flexible schedule. Some weekend and evening hours may be required.

This position is planned for the duration of the Capital Campaign.
